1. Import databases — CSV files in databases/ into Notion or Google Sheets (see docs/IMPORT-GUIDE.md)

2. Set up the pipeline board — Follow pages/pipeline-board-setup.md to create your Kanban view

3. Build the CRM Hub — Copy pages/crm-hub.md into Notion and embed your database views

4. Add your formula properties — Use formulas/FORMULAS.md to add calculated fields

5. Start tracking — Add your current leads and proposals, then use the system daily

The Freelancer Sales Pipeline

This CRM follows a 7-stage pipeline designed for freelance sales:

1. INQUIRY        → Someone reached out or you identified a prospect
2. QUALIFYING     → Discovery call scheduled or in progress
3. PROPOSAL SENT  → Formal proposal/quote delivered
4. NEGOTIATING    → Client reviewing, asking questions, or negotiating terms
5. CONTRACT SENT  → Awaiting signature
6. WON            → Signed and starting
7. LOST           → Didn't close (track the reason why)

Each stage has a probability weight for revenue forecasting:

  • Inquiry: 10% | Qualifying: 25% | Proposal Sent: 50% | Negotiating: 65% | Contract Sent: 80% | Won: 100%
